Program Coordinator -- (10-Months) Art and Visual Culture

To support the project activities as well as administrative and clerical duties for the Department of Art & Visual Culture.
Essential Duties and Responsibilities

  • Assist the Department Chair and faculty with the overall administration/coordination of program activities, which include faculty development activities, lectures/symposia, workshops, and new and ongoing new projects of the programs in the department (art, art history, curatorial studies, documentary filmmaking, photography).
  • Responsible for handling domestic and international travel logistics for faculty and students.
  • Prepare materials for the department’s website.
  • Participate in outreach activities associated with project goals.
  • Purchase Title III funded materials and supplies; assist in filing necessary forms related to projects and equipment
  • Generating announcements for events
  • Coordinate correspondence, support materials, meetings, interviews between chair, faculty and organizations involved in the design and building of a new innovation and arts facility
  • Prepare requisitions
  • Prepare job postings in coordination with the Office of the Provost and Human Resources
  • Create and maintain departmental documents
  • Coordinate faculty and staff onboarding in the department
  • Responsible for organizing supporting elements for events including photography, video and catering
  • Responsible for coordinating faculty check requests and reimbursements.
  • Responsible for assisting new vendors with the approval process.
  • Responsible for preparing Independent Contractor Agreements
  • Assist with ensuring that department’s budget is balanced.
  • Assist with organizing department retreats



Required Qualifications
High school diploma and a minimum of five years of related work experience are required.
This position requires strong customer service focus, excellent communication, verbal and time management and organizational skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential.
Excellent oral communication skills are required when providing information and responding to questions from students, parents, employees, and the general public in one-on-one or group situations. Also, must be able to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Good proofreading skills are essential.
Must possess the ability to write business correspondence and newsletters. Good oral communication skills with the ability to effectively coordinate activities, respond to common inquiries from students, faculty, staff, agencies, educational institutions, and the general public. Ability to read and analyze professional journals, technical procedures, or governmental regulations. Ability to manage budgets.
To perform this job successfully, an individual must have demonstrated intermediate level skills using Microsoft Office Suite (Word, Excel, and PowerPoint) and typing skills. Advanced skills may be required for some applications. In addition to producing correspondence, memos, e-mails, duties may involve assignments that require creating flyers/brochures, spreadsheets with formulas and pivot tables, PowerPoint presentations, mail merges, and graphs. Must be internet savvy and capable of using the Banner Financial Module, Lotus Notes and learning new software quickly.
Preferred Qualifications Bachelor’s Degree or some college is preferred.
Experience in the use of report writing software ( i.e. Crystal Report, and Access ) and SCT Banner is a plus.
Certifications, Licenses, Restrictions Physical Demands While performing the duties of this job, the employee is regularly required to: walk, talk, hear, sit, use hands to handle office supplies, operate computer and other office equipment. The employee is frequently required to: reach with hands and arms, and stand. The employee is occasionally required to: stoop, climb, and lift and/or move up to 15 pounds. Specific vision abilities required by this job include the ability to adjust focus.
